Working in an organization

Members of an organization share one balance of credits and licenses, the licenses their colleagues take, and the models shared with the team. Here is what you see in the app, and what happens when the balance runs out or someone leaves.

This article is for members of an organization on exactly.ai: a company's group of accounts, where each person signs in with their own. In it, Acme stands for your organization's name.

What your team shares

One balance of credits and licenses. Everything you do that costs credits or a license is paid from the organization's balance, not from a balance of your own.

Licenses. A license anyone on the team takes belongs to the organization. Every member sees that image or video without a watermark, and nobody needs another license for it. See How credits and licenses work for when a license is taken.

Models. Models shared with your organization are grouped under its name: at the top of the model menu in the prompt bar, above Style library in the style picker, and as the first filter on the Style library page. They also appear under Shared with me.

In the header

At the right of the header, figures show how many licenses and credits your organization has left. Click them to open Acme plan balance, with what is left of the plan's Licences and Credits, the Renewal date if there is one, and Contact us. A red mark on the figures means the balance needs attention, and the card says why.

Next to Projects and Style library, the header has two links: My licences and Acme licences. On a phone, the figures are in the header inside a project. Outside a project, both links are in the menu, where My subscription opens the same card.

Licenses in History

History, the clock icon in the header, has two license tabs:

  • My licences lists licenses you hold yourself, for example ones you took before you joined.

  • Acme licences (Team licences on a phone) lists every license the organization holds, whoever took it and whichever project the image or video is in.

When the balance runs low or runs out

When less than 20% of your plan's credits or licenses is left, a window headed Your balance is running low opens on its own, at most once every 48 hours for each.

Some organizations have an overdraft: an extra allowance that starts once the plan balance is spent, so work doesn't stop. If yours has one, Acme overdraft appears under the plan balance, and when your team starts using it you'll see You're now using overdraft. The overdraft is billed separately, under your organization's contract.

Once the plan balance and any overdraft are spent, actions that need credits or licenses don't run. A window opens instead, headed Credit limit reached, Licence limit reached or, if both have run out, Usage limit reached. It shows what is left and the Renewal date if there is one. Nothing can be bought in the product: Contact us reaches our team to discuss your organization's plan.

An action also needs enough left to cover its whole cost. If there isn't enough, the same window opens, headed Your balance is running low (or You're now using overdraft).

If you leave the organization

When you leave or are removed, you no longer spend from the shared balance, and the organization's models disappear from your menus. Licenses you took as a member stay with the organization: your colleagues keep using them, but those images and videos show a watermark for you again. You can't take a new license for an image or video you licensed as a member, including ones in your own projects.

Licenses under My licences stay yours.

How people are added

Our team adds people to organizations. To add a colleague, contact us with the email address of their exactly.ai account. We don't send an email when someone is added, so let your colleague know yourself.

An account can belong to one organization at a time. To leave, or to remove someone, contact us as well.
